PTA BOARD INTEREST FORM

OFFICERS

  • The President shall:
    • Be encouraged to attend additional leadership training (e.g., local Council’s officer training, the Texas PTA LAUNCH) if newly elected;
    • Seek the advice of the Parliamentarian, if warranted, on any questions of parliamentary procedure;
    • Schedule and hold executive board and membership meetings in accordance with the bylaws;
    • Prepare an agenda with all business outlined in proper order for every executive board and membership meeting;
  • The First Vice-President shall:
    • Attend school events where PTA needs representation if the president is not available.
    • Review scholarship criteria and budget annually and report changes to the Foundation for Allen Schools if needed.
    • Coordinate with Treasurer to submit the scholarship check to Foundation for Allen Schools
    • Ensure applicants have attended Thomas Ereckson Middle School and are Allen High School seniors.
      • Scholarships will be awarded in the amount of $1000 each depending on the budget.
    • Identify and lead an Ereckson-sponsored clubs and organizations grant committee to review and award all applications. The committee shall consist of three (3) PTA members. If a committee member steps down, an alternate will take their place. Awards are granted based on budget.
  • The Second Vice-President shall:
    • Also be known as the Fundraising Chair;
    • Oversee all fundraising events of the PTA;
    • Serve as a member of the Budget and Finance Committee.
  • The Third Vice-President shall
    • Also be known as the Membership Chair;
    • Be responsible for all campaigns for membership to Ereckson PTA. These may include, but not be limited to, the following:
      • Meet the Teacher
      • Husky Huddle
    • Maintain membership records, providing a membership roster for the Secretary, Parliamentarian, Treasurer’s permanent file and send a copy to Texas PTA;
      • Be responsible for collecting and accounting for all dues, and will give the dues to the Treasurer for deposit;
      • Organize a Life Membership Committee and serve as its chair.
  • The Fourth Vice-President shall:
    • Also be known as the Programs Chair;
    • Work closely with the executive board and the Principal or school counselors in obtaining and arranging educational assemblies for the year;
    • Plan and coordinate two or more programs each year.
  • The Secretary shall:
    • Provide an electronic copy of minutes prior to the next executive board meeting to the President and parliamentarian for initial review and then to the minutes committee for final review.
    • File attendance sheet with the meeting minutes for executive board meetings
  • The Treasurer shall:
    • Ensure each of the approved two (2) tax-free days are noted in the minutes;
    • Present the following year’s budget at the last executive board prior to presentation at membership meeting for approval;
    • Present all applicable records to the Financial Reconciliation Committee within fourteen (14) days of the close of the fiscal year; the committee must be complete by July 31.
    • File sales tax according to Texas Comptroller guidelines.
  • The Parliamentarian shall:
    • Be knowledgeable of parliamentary law and procedure, consulting Robert’s Rules of Order Newly Revised when necessary;
    • Present any revisions of bylaws or standing rules to the executive board and the membership;
    • Provide a copy of any revised bylaws or standing rules to the Allen ISD Council of PTAs;
    • Submit current updated versions of the bylaws and standing rules every three (3) years to the Texas PTA.

 

STANDING COMMITTEES

  • Arts in Education Chair shall:
    • Be responsible for the publicity and promotion of the student participation in the National PTA’s Annual Reflections Program;
    • Be responsible for the collection of students’ Reflection submissions, organize, document and take photos of each piece;
    • Be responsible for the identification and selection of the judging panel, and develop a system through which the art can be fairly judged;
    • Create and distribute certificates to all participants and winners;
    • Submit the winners’ information to the Allen ISD Council of PTA for next level judging.
  • Citizenship Chair shall:
    • Work with the Ereckson faculty to select students to receive citizenship awards for each 9 week period;
    • Acquire small prizes for our Ereckson students to accompany their certificates;
    • Print out certificates with the winners’ names as provided by Ereckson faculty;
    • Conduct a short citizenship ceremony with the principal every nine (9) weeks;
    • Publicize citizenship award recipients.
  • Communications/Publicity Chair shall:
    • Promote school and Ereckson PTA communication by
      • Coordinating postings on the electronic announcements, and social media;
      • Coordinating with Webmaster for PTA website posting;
      • Coordinating with the Ereckson counselors to promote school initiatives.
    • Defer all media requests to the president.
  • Eagle Fun Run Chair shall:
    • Attend Allen ISD Foundation for Allen Schools Eagle Run meetings;
    • Develop a marketing method to encourage Ereckson staff and families to register for the run;
    • Provide status updates at executive board meetings.
  • Hospitality Chair shall:
    • Work within budget to provide staff appreciation in the form of lunches, snacks and notes monthly or as schedule is determined.
  • Student Activities Chair shall:
    • Coordinate the fall dance;
    • Support the Student Council dance in the spring.
  • Volunteer Coordinator shall:
    • Develop and coordinate a pool of volunteers utilizing the web-based volunteer management system;
    • Communicate necessary information to allow easy engagement in Ereckson volunteer opportunities.
  • Webmaster shall:
    • Be responsible for the technological aspects of the PTA to include Ereckson PTA website, and other PTA technology;
    • Assist PTA executive board in preparation for each new school year, along with periodic website updates as needed throughout the year.
  • Spirit Wear Chair shall:
    • Coordinate with vendors to provide Ereckson spirit wear to sell at events such as, but not limited to, the following:
      • Parent Orientation
      • Meet the Teacher

Other Executive Board Positions

  • Council Representative shall:
    • Ensure that Ereckson PTA is represented at each Allen ISD Council of PTAs delegate meeting
      • If unable to attend a meeting, find a replacement and communicate the replacement name to the council secretary as soon as possible
    • Report to Ereckson PTA any notable discussions or changes;
    • Actively participate in the PTA Citizenship nominations and delivery of awards/certificates to winners.
    • Coordinate Ereckson PTA involvement in Council events, such as Used Book Fair, community nights.
  • Faculty Representatives shall:
    • Consist of one (1) campus administrator and one (1) counselor who serve as liaisons between faculty and the executive board.
